Essex based eSlip Payroll Services Nominated for Payslip of The Year

eSlip Payroll Services are a finalist for “Payslip of the Year” in the Payroll World Awards 2011.

But surely a payslip is just a payslip – we hear that a lot!!.  Firstly lets explain why we have spent time making our payslips so different.  It’s about saving our clients time, in particular the time taken in handling employee queries. Our research has shown that the more accurate information we include on the payslip, the less employee queries our  Essex clients receive, because the employee can see the answer for themselves on the payslip. So we are delighted that the Payroll Services Industry have recognised eSlip by short-listing us for this award.

Over the years our payslip design has evolved so that today the payslips are personalised for each of our different Essex companies, showing information that is important to their different ways of working. Below are some examples:-

  • The most common issue our clients both in Essex and throughout the UK raised is employees querying their tax code [change]. However the HMRC will not discuss this with eSlip or indeed the clients company.  So we print the correct telephone for the employees registered tax office below the tax office reference on each and every payslip. So that it is as easy as possible for the employee to resolve this themselves.
  • On the bottom of the payslip eSlip include all Statutory information, together with a tax year running total. This also helps give the employee visibility of the monetary value of the non-cash benefits that the client is funding on their behalf e.g. employers contribution to employees pensions.
  • On the front of the payslips (they are produced already pressure sealed) we include information to make it easy to distribute the payslips correctly, with ’000′s of payslips being despatched, a tight procedure is required to avoid mistakes. The company and employees names are there together with a department, on which the payslips can be sorted, according to client requirements.
  • A sequence number is included making it easy to reprint any spoilt payslips without risking duplicates or omissions.
  • A delivery code is included so that the despatch department know whether to send the payslip to Head Office, a Satellite Office or a Home address, and which method will be used for the delivery.
  • Small chevrons mark the edge of the address panel, so that the operators can easily confirm that the payslip is correctly aligned (the stationery varies slightly by batches). This is particularly important where clients has requested us to fill the payslip with extra information about how the employees pay has been made up. And the payslip print routine has been designed to make it easy to adjust the position of the print on the stationery.
This only a brief overview of the general features of the payslips, there are others designed to help particular industries such marketing companies, blue collar works and financial institutions.
It is by attention to these many small details (payroll services is all about getting small details right) that we have substantially enhanced our client experince saving them time and money.

I Eat My Peas With Honey

Granddad always used to say “I eat my peas with honey, I’ve done it all my life, it makes the peas taste funny, but it keeps them on the knife” (of course he’d never heard of the Black Eyed Peas).   Granddad was never scared to be different and that has rubbed off down the generations.

eSlip Payroll Services decided to be different by not charging for ‘extras’.  You see it is quite common in our industry to quote clients a low payslip price and then make all your profit on extras. Payroll Service companies charge for extra reports, leavers, starters, adding new pay elements and reruns. Quite simply we do not charge for extras, ever.

Our thinking is that it is more important to honest and up front about our pricing, making it simple, predictable and easy to budget for.  So we just give all those extras away including producing P45s. Just contact our support staff and ask for a rerun, it will happen and you’ll never see a bill for it. We do sometimes worry when completing for new business that we are being compared with other suppliers who will go in low and then charge later, but I guess that’s just life.

There are other advantages too, because we do not have a mechanism in place to trap these extras, in means we are much more responsive to clients especially when things aren’t going to plan for them. And internally we don’t have the cost of that charging mechanism and our invoices are nice and simple to produce.

But probably the biggest spin of is our client relations, because our staff just say yes to all our clients requests they have a great relationship with all our clients. Which in turn make this a particularly happy place to work, which is great because I spend a load of time here!!

Sometimes Customers Leave Our Payroll Services

I thought I’d explain our procedure for clients that leave us and the reasons behind the policy.  To be honest it doesn’t happen very often and nearly always as a result of change in company structure or ownership.

Although we are always saddened to see a client leave, we want to make the process as easily for them as possible.  Sometimes suppliers get a bit sulky and drag their feet at this point in the relationship, and even start levying fees for created the handover files. We don’t.  We thank them for their business, wish them luck and hand over all their information as soon as possible, in a easy and universal format.

We think this approach is right for a number of reasons, firstly it fits into our culture, where the support staff know that they should say yes to anything a client asks of them “without fuss or expense” providing they know how to, and they don’t feel taken advantage of.  If they can’t they wont refuse, but will instead refer to a manger who will then try to say yes too.

This we promised when we took on our clients, then the (perceived) risk of using eSlip Payroll Services is reduced because there are no set-up fees, no minimum initial period and it is easy to transfer should you wish to for any reason.  The whole team like to keep our collective promises.

I think what it all boils down to is our reputation as an employer and as a payroll services provider. Our reputation is more important that any particular situation, and it is embedded into the values of our business.

P11D Submissions

Company Credit Cards - Business ExpensesNow is the time that employers of all sizes have to prepare and submit P11Ds for the tax year just ended.  Experienced Payroll service companies can effectively help in this process.

Employers use a P11D form to tell HMRC about the value of any ‘benefits in kind’ employees have received during the tax year. These are benefits or expenses that effectively increase income. Examples are company cars; private medical insurance or interest free loans.

This form has to be completed for employees who have earned at least £8,500 in the year, including the value of the benefits. They will work out how much each benefit is worth, record it on the form and send it to HMRC.  Full information about P11D submissions and related information can be found on the HMRC website at http://www.hmrc.gov.uk/paye/exb/index.htm

A particular issue to be aware of is that if any employee has a company credit card or has been paid any expenses a P11D entry needs to be made for the amounts spent, unless a dispensation has been agreed with the HMRC.  To get a dispensation an independent checking system must be in place that reviews all expenses and specifically identifies expenditure as personal or business.  Then if all the spend is business related there is no requirement to enter these values on a P11D.  Without a dispensation, even if all the expenditure is actually spent on behalf of the company a P11D must be completed.  In these cases the employee will need to either complete a tax return or complete a Section 336 claim to ensure that they do not get a tax charge for any business expenditure.

P11D submissions have to be made by 6 July following the end of a tax year.  It is estimated that 5 million P11Ds are submitted to HMRC annually. The most popular method of submission remains hard copies, although there is a significant growing proportion that submit electronically.  There is the potential for hefty penalties to be imposed if P11D returns are not completed or are incorrectly returned.
